Why use CMMS software?

CMMS is a planning and organisation tool for the maintenance of your services.

Its objective?

To ensure that your activities run smoothly. To achieve this, the functionalities of a CMMS tool bring their share of benefits:

  • Traceability of interventions and of all information in general. This means you can manage the business efficiently and guarantee compliance with standards, even when subcontracting is involved.

  • Saves time in planning and managing interventions, which improves your organisation's overall productivity.

  • Smoother communication and knowledge-sharing between the various players and departments.

  • Long-term analysis and scope. These provide invaluable visibility for anticipating unforeseen events. So you can avoid surprise stock-outs or breakdowns linked to unmonitored obsolescence.

  • Strategic issues for business management. The KPI indicators shed light on the corrective and preventive maintenance actions to be deployed, while providing more global decision-making support for management.

  • Cost optimisation, thanks to better management of activities, actions and future expenditure.

Our advice for your selection

  • Start by identifying your day-to-day irritants: unanticipated breakdowns, unclear history, lost parts, etc. List your real problems so that you can find a CMMS that solves them, not just a marketing 'solution'.
  • Be realistic about your resources: a team of 3 people doesn't need a space cockpit. Go for a simple, ready-to-use tool that grows with you.
  • Check the ergonomics and test the interface. If you need a tutorial to create a work order, stay away.
  • Think 'mobile': tablet application, QR code, offline mode... Your technicians don't work in front of a 27-inch screen.
  • Look beyond the functionalities: support, documentation, the community and updates all count. A CMMS without monitoring is like a machine without maintenance.
  • Ask for a demo (or better still, a free trial) to see if the promise holds up in your field.

How does a CMMS work?

A CMMS solution is used to centralise and automate the management of a company's maintenance operations, with the aim of optimising processes.

More specifically, once the tool has been deployed, the first thing to do is to record the details of the assets (specifications, history, etc.) in the database. Then preventive maintenance tasks are scheduled, based on calendars or various parameters (regulatory, for example), while service requests are captured and allocated. Technicians then receive tasks, record their work, times and parts used via the application.

CMMS therefore encourages real-time communication between teams, whether field staff or supervisors, for more transparent monitoring of progress. What's more, the data collected is fed into reports and analyses designed to assess performance and trends, so that better decisions can be made.

How much does CMMS software cost?

The price of CMMS software varies according to a number of factors, including

  • the complexity and range of functions
  • the number of authorised users
  • deployment options
  • the level of support offered, etc.

Basic solutions can be purchased for as little as a few dozen euros a month, while more comprehensive platforms for large companies can cost several thousand euros a month.

☝️ In all cases, you should always ask suppliers for personalised quotes, to get a precise estimate of the prices you need to pay to meet your requirements.

A strategic choice not to be made lightly

Finding the right CMMS software is a bit like choosing a toolbox: the important thing is that it's adapted to your worksites.

Every company has its own constraints, its own urgencies, its own habits. But they all have one thing in common: maintenance can no longer be done in the old way. It's too time-consuming, too vague, too risky.

Whether you're an industrial SME or a local authority, there's a solution that's right for you. The key is to find the right combination of simplicity, performance and scalability.

Take the time to test, compare and challenge vendors. And above all: involve your teams in the choice. A well-chosen CMMS means a CMMS that is used.
